When the tenders for construction work are opened and the contract is finalised, the work order is issued to the concerned Contractor for starting the construction work. The Contractor is informed in writing by a registered letter that his tender has been accepted and he should contact the Divisional Office to sign the Contract Agreement and finalise the deal. After completing the contract agreement he is asked to take possession of the site and start the work. When the work is allotted on the basis of piece work system, particular form is used for such agreements.
As per contract, the contractor is supposed to keep a Register Book at the site of work for regarding the instructions given in the concerned engineers from time to time. This type of record book is called as “Work Order Book”. The work order book is generally numbered and total number of pages are written on first page. The contractor has to produce the work order book whenever it is demanded by concerned engineer. The maintenance of the work order book has the following advantages.
- All the instructions to be given to the contractor can be recorded in writing so that there should be no confusion in the execution of work.
- It becomes easy to mention all specifications, drawings and workmanship, etc. in the book.
- Instructions mentioned in the book are legally binding on the contractor.
- It saves time.
- It becomes a contract document.
- It remains with the contractor as a proof for the instructions given about the work.
- It serves as an order regarding the particular aspect of the construction work.
